This is how our new financial routines work!

As we have continuously informed you about, today 14 November 2022 we have changed business systems. Our mission to create a modern clearing platform continues, with an increased focus on maximizing customer value through improved business processes, greater accessibility, and better possibilities for customer-adaptive integrations.

Short information about the new financial procedures

  • From November 2022, each campaign will have its own á account.
  • The nominal value of the value carrier is settled daily against the á account.
  • Just as before, the á account is topped up with a balance top-up “request for campaign funds”.
  • The clearing fee (handling cost) will be invoiced in arrears to facilitate VAT reporting. Here it is possible to have a consolidated invoice for all active campaigns to facilitate the payment flow.
  • Accounting documents are downloaded digitally in the ClearOnline portal.

Important notice – New financial procedures

As of 14 November 2022 ClearOn will be changing business systems. Our mission to create a modern clearing platform continues, with an increased focus on maximizing customer value through improved business processes, greater accessibility, and better possibilities for customer-adaptive integrations.

Our goal is to make it easier for our customers today, while successfully meeting the needs and demands of tomorrow. To save time through more efficient, cost-effective handling of business processes and financial procedures for ClearOn’s services.

The new business system offers increased flexibility and enables:

  • Simplified VAT management
  • Improved cost tracking at a campaign level – including digital documentation
  • The possibility to process collective invoices
  • Simpler invoicing routines

What happens now?
We will carry out the transformation from the old to new system in several steps. On the day of the system update, in instances where you have an outstanding balance on your campaigns, the balance will be distributed evenly amongst all existing active campaigns. If you already have a balance per campaign, the balance will simply be moved to the new environment.

Any balance top-up requests/requests for promotional funds that have been invoiced before the new business system comes into effect and are linked to a total balance for all active campaigns, will be distributed between your campaigns upon payment if received after the new business system has come into effect. As such, we kindly ask you to make the payments to refill your campaign accounts before then.

New financial procedures

Digital accounting documents

Authorized users in ClearOnline may download accounting documents in the portal. Should you wish to add several users (from your financial team, for example), please contact clearonline@clearon.se for further assistance. Instructions on how to retrieve the documents will be sent out and available in the portal.

P.O. Numbers

In ClearOnline, it is now possible to enter purchase order numbers for both the fixed base fee and the variable clearing fee per campaign. This is in order to facilitate your internal invoicing routines.

Documents will no longer be sent out

The campaign balance and accounting documents labelled “Invoice” that were previously sent by mail on a weekly or monthly basis are now discontinued and will no longer be sent out. These will instead be replaced with the digital accounting documents mentioned above.

The decision of Finansinspektionen

In October 2020, Finansinspektionen initiated an investigation with the aim of checking the company’s compliance with the money laundering regulations.

Finansinspektionen has examined ClearOn’s operations during the period between January – December 2020. The examination was about routines and guidelines for the company’s work with AML risk assessments and the KYC process and ClearOn’s knowledge about its payment service customers.

ClearOn has always had a strong focus on the AML-processes and has over the years invested significant resources in ensuring compliance with the requirements and guidelines that the company has interpreted into the relevant regulations.

Finansinspektionen has made the assessment that ClearOn has had shortcomings in its measures to achieve sufficient AML knowledge for those customers with whom a business relationship has been established and thus that ClearOns has not been able to sufficiently handle the risk of money laundering or terrorist financing. From ClearOn’s perspective, the main reason for the expressed  shortcomings lies in its interpretations of the regulations, where the company has made different assessments than what Finansinspektionen has done.  

Based on the preliminary findings received from Finansinspektionen, ClearOn has established and implemented an action plan to correct the shortcomings that Finansinspektionen considers have existed in the company. This action plan entails changes in routines and processes for the work with risk assessments and in the processes to acquire customer knowledge and to risk classify customers.

Finansinspektionen has found that the shortcomings justify a warning together with a penalty fee.

EuroAfrica Digital Ventures’ subsidiary signs strategic agreement with ClearOn AB

Euroafrica Digital Ventures dotterbolag Social Media Lab har idag tecknat ett strategiskt avtal med ClearOn för att nyttja bolagets SaaS plattform Social Content för en innovativ lösning för distribution av kuponger via SnapChats annonsformat.

ClearOn är Sveriges marknadsledande partner för säljdrivande kampanjer inom svenska dagligvaru- och servicehandeln. I ClearOns nätverk ingår ca 5 000 rikstäckande butiker vilka förmedlar kupongkampanjer för varumärken som exempelvis Coca-Cola, Unilever och Scan. ClearOn gör årligen ca 2 500 kampanjer på uppdrag av sina kunder. Med detta strategiska avtal blir Euroafricas marknadsföringsplattform Social Content en viktig plattform för effektiv marknadsföring i Snapchat och andra sociala mediekanaler.

Avtalet innebär att Social Media Lab utvecklar en modul till Social Content vilket möjliggör för ClearOn att distribuera kupongkampanjer direkt i annonsformat på sociala media-plattformar. ClearOn kommer aktivt erbjuda denna tjänst till sina kunder parallellt med sitt nuvarande erbjudande inom Sales Promotion. Kupongkampanjer har stora fördelar bland annat när man ska introducera nya produkter på marknaden, nå nya konsumenter eller öka försäljning av befintliga produkter.

New release ClearOnline

Our idea with ClearOnline is to coordinate all functions around coupon campaigns for you as a user.

We do this to improve your customer experience and our offer to you.

In the new release you will find:

  • A new news feed – here you will find inspiring reading.
  • An opportunity to download PDF invoices and see the status of the invoice under the new icon “My invoices”.
  • An extended search function under “My campaigns” which allows you to search for items eg. GTIN (product article)

But everything is not perfect…

Big changes take time and we do everything to improve the experience further. In the coming months, we will improve the BI tool Insight, the accounts receivable and simplify your handling of user levels and login.

MoneyGram customize prices

As of November 17, new prices apply for MoneyGram. Information about this has been sent out via e-mail to our MoneyGram agents and a letter and price list will soon be in the mail. Make sure that all old material that presents prices is thrown away and replaced with the new price list.
